One copy is not a backup.

A quote that looked reasonable a few months ago may now seem unexpectedly high. In 2026, Canadian SMBs are seeing higher Dell, Lenovo and HP pricing, often hidden in memory, storage, delivery and price-protection terms.

Three forces are at work:

• Memory and SSD costs rose sharply, driven by AI and data-centre demand.

• Currency and cross-border costs are built into Canadian prices; manufacturer pricing is largely in US dollars.

• Tighter quote-validity and ship-by rules mean an approved price may not be protected until shipment.

Brand changes:

• Dell: staged increases up to 15% in August; validity extended from 14 to 30 days, not a 30-day price promise.

• Lenovo: about 6% average; CTO configurations about 4%–10%; selected Top Seller devices adjusted from October 1.

• HP: client-device increases about 10%–15% in September; docks, displays and Poly peripherals excluded.

Microsoft 365 licences are easy to add and easy to forget, and the July 1, 2026 pricing update means dormant seats now cost more at renewal.

What an unused licence adds up to: • 10 unused Business Basic seats at $9.50/month: about $1,140 per year • Five unused Copilot add-ons at $28.50/month: about $1,710 per year • Ten unused E3 licences at roughly $39/month: about $4,680 per year Where to look first:

• Departed staff, confirm the mailbox or OneDrive data is retained before removing the licence.

• Shared mailboxes carrying a full user licence they may not need.

• Seasonal and contract staff left active after their peak period.

• Copilot pilots that never rolled out or produced measurable savings.

• Overlapping add-ons.

Fix the plan before cutting the seat: remove licences from accounts that no longer need access, reclaim unused add-ons, downgrade over-licensed users, then reduce purchased seat quantities at renewal.

Under the New Commerce Experience, annual seat quantities are generally locked for the term, with only a short adjustment window at the start, commonly seven days. Start the audit 120 days out and send final quantities to your CSP 30 days before renewal.
