Programs, drop-ins and room rentals
| Option | What to arrange | Check before attending |
|---|---|---|
| Registered program | Choose and book the specific course | Age group, dates, prerequisites, fee and remaining spaces |
| Drop-in activity | Find the session schedule and admission method | Capacity, equipment and supervision rules |
| Room or facility rental | Request the space and receive a rental agreement | Capacity, setup, insurance, total charges and cancellation terms |
Do not use a centre’s general opening hours as a program timetable. Partner services at shared YMCA/library buildings use their own rules. Ask which operator runs the activity before buying a membership or pass.

Room rental requests and cost planning
| Item | Details to provide |
|---|---|
| Event | Purpose, expected attendance and participant ages |
| Time | Event dates plus setup and cleanup time |
| Space | Room, gym, outdoor area or other facility |
| Equipment | Tables, chairs, kitchen, sound or sports equipment |
| Access | Entrance, washrooms, lift and other needs |
| Charges | Room fee, staffing, insurance and any music or other charges |
Use the City rental page to check availability, then contact Recreation Customer Service for rates and a booking. A calendar showing an available room is not a confirmed contract.
Some sites allow alcohol only under the Municipal Alcohol Policy. Ask staff about the requirements before including alcohol in an event plan.
Rental insurance and cancellation rules
| Time before rental | Published refund |
|---|---|
| More than 14 days | 100% |
| Seven to 14 days | 50% |
| Less than seven days | No refund under the standard schedule |
The City requires at least $2 million liability insurance naming the City as an additional insured. You may use qualifying existing insurance or ask about the City’s user insurance program. Request the required certificate and full policy terms.
The rental contract controls your booking. Exceptional requests may need documentation and supervisor review. These rental terms are separate from registered program cancellation rules.
Program funding and rental fee reduction
The Play Your Way Fund provides eligible residents with recreation fee support. Its application is separate from program registration. The parks and free activities guide includes the current income bands and funding limit.
The City also has a separate request to waive or reduce facility rental fees. The rental page asks for submission at least two weeks before the requested dates and considers dates up to a year ahead. A request is not an approval.

Civic Garden Conservatory public visits
The conservatory has free public viewing at selected times rather than a fixed daily visitor schedule. The current facility page lists specific dates through October 31, 2026. A rental can change a public viewing slot.
The facility page lists free parking at 625 Springbank Drive. Check the current public viewing list, or call 519-661-5575 before making a trip for the conservatory.
Community centre questions
Does one building pass cover every service at a shared centre?
Do not assume so. Check the operator of the specific program. City recreation, YMCA and library services can have separate admission and registration.
Source: City community centre directory
Is an online room availability result a confirmed rental?
No. Arrange the booking, total charges and rental agreement with the City.
How do I register for a London recreation program?
Use Play Your Way Online, phone registration or an in-person customer service desk. Choose the correct participant and dates, check entry requirements and the full price, then save the registration confirmation.
What should I do when a recreation program is full?
Read the session’s waitlist options and look for another suitable date or location. A waitlist request is different from a confirmed place. Keep your contact details current so staff can reach you about an opening.
How do I request a community room for a group event?
Use the City rental page and contact Recreation Customer Service with the location, date, times and event needs. Ask for the full quote and contract. Include setup and cleanup when discussing the booked period.
Do City facility rentals need liability insurance?
The City rental rules require liability cover naming the City as an additional insured. Ask staff for the current certificate requirements and whether your existing policy or the City user insurance program fits the booking.
Is recreation fee support the same as a rental fee waiver?
No. The Play Your Way Fund supports eligible recreation participants. A request to waive or reduce facility rental fees is a separate process. Apply through the route that matches the cost you need help with.

Can I use a centre’s opening hours as a drop-in timetable?
No. A building can be open while a gym, pool or room is being used for another program. Use the actual activity listing, including the operator, age group, time and admission rules.
Can I visit Civic Garden Conservatory whenever the building is open?
Public viewing is offered at selected times and can change because of rentals. Use the current viewing dates or contact Recreation Customer Service before travelling for the conservatory. Its address is 625 Springbank Drive.
Can I serve alcohol at a City room rental?
Some sites allow it only under the Municipal Alcohol Policy and the booking requirements. Tell staff about the plan before booking and confirm which approvals, insurance and venue conditions apply to the event.
